Thanos Hotels: Personal Assistant to the Hotel Manager – Πάφος
Role
The successful candidate will be responsible for providing administrative support to the Hotel Manager. Organize and manage efficiently the routine work activities and provide clerical support.
Duties & Responsibilities
- Provide full professional, secretarial and administrative support
- Perform record keeping and clerical functions (e.g. scheduling, copying, faxing, filing, collating etc.)
- Screen calls, enquiries and requests, and deal with them when appropriate
- Produce documents, briefing papers, reports and presentations for the manager
- Organize meetings and ensure that manager is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers.
- Process manager correspondence, ensuring that incoming correspondence is dealt with by the manager, or other staff as appropriate
- Maintain manager office systems, including data management and filing
- Maintain records of manager contacts
- Manage manager’s travel arrangements (including visas/accommodation where necessary)
- Develop and maintain positive working relationships with others
- Ensure that duties are carried out in an honest and ethical way by abiding the Company’s rules and regulations and the Cyprus Law.
- Perform any other relevant duties assigned by the Hotel Manager
Requirements
- At least 3 years’ experience as a PA at Senior Management level in hospitality
- Excellent command of the Greek & English language
- Residence based in Paphos
- Skills in database management and record keeping
- Proficiency in the use of computer applications i.e.: Word processing; MS Word, Power Point; Spreadsheets – MS Excel ; E-mail – MS Outlook – This is a MUST at a high level
- Able to follow up on assignments keeping deadlines
- Excellent written and verbal communication skills
- Excellent interpersonal skills
- Ability to work with initiative, autonomously and as part of a team
- Tactful and discrete when dealing with people
- Able to exhibit a high level of confidentiality
- Ability to work under pressure in fast pace environment
- A flexible, pro-active approach to work including the ability to prioritise and re-prioritise
- Ability to deal with sensitive information with discretion and to maintain confidentiality
- Pleasant, honest and friendly personality
- A degree or diploma in a relevant field will be considered as an advantage
