We are seeking to employ a highly organized, proactive, and detail-oriented Personal Assistant to support our CEO. This role is responsible for ensuring the smooth operation of the CEO’s daily activities, including managing schedules, communication, travel arrangements, and various administrative tasks. The ideal candidate should possess excellent communication skills, discretion, and the ability to anticipate the CEO’s needs.
Key Responsibilities:
- Administrative Support:
- Manage and maintain the CEO’s calendar, scheduling meetings, appointments, and events.
- Handle incoming and outgoing correspondence emails and phone calls. Draft and proofread emails, correspondence, and documents on behalf of the CEO.
- Prepare and organize documents, presentations, and reports for meetings and conferences.
- Handle confidential and sensitive information with discretion and professionalism
- Travel Coordination:
- Organize and manage domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
- Ensure all travel logistics are in place, including any necessary documentation (e.g., passports, visas).
- Meeting & Event Management:
- Organize and coordinate meetings, conferences, and events, including setting agendas, preparing meeting materials, and taking minutes.
- Ensure the CEO is fully prepared for all meetings by gathering relevant information and materials.
- Project Support:
- Assist the CEO with various special projects, research tasks, and follow-up on key action items.
- Coordinate cross-functional teams to ensure project deadlines are met.
- Personal Assistance:
- Handle personal errands and tasks for the CEO, such as appointments, family-related matters, or managing personal schedules as required.
- Maintain discretion in managing personal and professional affairs
- Ad-hoc Tasks:
- Provide general administrative support, including filing, organizing, and other duties as needed.
- Assist with maintaining office organization and ensuring a productive work environment.
Requirements:
- Education: Diploma in secretarial studies or relevant field will be considered a plus
- Experience: At least 2 years of experience as an executive assistant or personal assistant to senior leadership.
- Skills:
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills in both Greek and English.
- Ability to manage multiple tasks and prioritize effectively.
- High level of discretion and professionalism.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.

Work Environment: This position is based in the office, with occasional travel requirements. The work environment is dynamic and fast-paced, requiring flexibility and adaptability.
