AON: Θέση Office Administrator/ Assistant – Λευκωσία

We currently have an exciting opportunity for an Office Administrator / Assistant to join our office in Nicosia. The responsibilities will involve administrative support to Partners or Consultants, plus the execution of Office administrative responsibilities for our Nicosia office. Previous relevant work experience will be considered an advantage. Candidates must be fluent in Greek and English.

The following qualifications are required:

  • Undergraduate degree or equivalent experience
  • 3+ years experience, ideally in a similar role
  • Proficient at Word, Power point and Excel and Basic database knowledge (i.e. Access)
  • Excellent communication skills – both written and verbal
  • Spotless record and strong ethos

The successful candidate will be expected to carry out the following:

Office Services Support

  • Ensure all incoming calls are answered promptly, in a courteous and professional manner, prioritizing as appropriate
  • Log and greet all visitors, including clients, delivery persons, maintenance workers, etc. to ensure proper security is in place for Aon guests
  • Book meeting rooms and manage their logistics including general set up/cleanup of rooms, catering requests, liaising with IT for audio and video conferencing requests
  • Handling of incoming and outgoing mail, faxes and packages, copy/binding requests and large mailings
  • Book couriers, hotels, conference calls and catering as requested ensuring requests are properly recorded
  • Assist with new hire on boarding, conduct office tour and explanation of office procedures
  • Assisting in special projects for administrative managers, as requested by the local Aon team
  • Work effectively with all departments to handle requests and to fulfil common goals in a proactive and customer service manner
  • Assist with internal office moves and refurbishment projects as needed

Daily administration

  • Single point of contact for all assigned Partners’ administrative needs including security access, conference room booking, catering orders
  • Enter and manage contacts and opportunities in CRM

Support and Coverage

  • Provide executive assistant support to 1-3 Partners / Associate Partners
  • Provide training to new joiners on specific topics (calendaring, travel, timesheet & expenses, coverage)

Calendaring

  • Maintain diaries for Partners/Associate Partners, scheduling internal and external meetings, communicating with clients and internal staff as appropriate
  • Proactively spot opportunities to add internal and external meetings, interviews, staff meetings, follow up meetings

 Travel Arrangements

  • Coordinate travel and accommodation, flight tickets, etc.
  • Develop understanding of Partner scheduling and travel preferences
  • Coordinate travel efficiently by grouping client meetings where possible
