Job title : Office Administrator / Secretary
Job description: The JFD Administration team is on the hunt for a temporary maternity cover. The contract duration is up to March 2016. The duties are as follows:

Office maintenance
– Assist the Business Manager to run the office effectively;
– Answer the reception phone line and provide information or redirect callers to the relevant Department;
– Manage stationary (paper, pens, ink, etc.) and kitchen (snacks, water, other drinks, etc.) supplies and office general maintenance (cleaning, repairs, etc.);
– Maintain office records, reports and correspondence;
– Receive and distribute post mail and express deliveries.

Meeting management & timekeeping
– Manage office visitors’ greetings and keep conference rooms organized ahead of scheduled meetings;
– Make sure appointments and meetings on the schedule are kept straight and manage the flow of visitors or employees who need to see the management;
– Issue invitations, agendas and meeting packs;
– Compose routine letters, reports, minutes of meetings when applicable;

Personal Assistant
– Manage everything from ordering office lunch to arranging house cleaning or applying for travel visas and passports;
Book accommodation and plane/train/taxi, arrange travel pack for each trip – boarding passes, tickets, visas, agendas, etc.;

Event management
– Organise ad-hoc events (breakfasts, lunches, dinners, drinks, conferences) for both clients and staff;
– Book tables/spaces, handle logistics, and liaise with Finance Department for payment;
– Organise team-building drinks and social events;
– Email or call clients personally to invite when required.

Qualifications required: – Excellent, fluent written and verbal English
– Bachelor degree in secretarial studies will be considered an advantage
– Previous secretarial/administrative experience will be considered an advantage
Other requirements: – A passion for excellence and attention to detail
– Excellent people skills and telephone manner
– Team player with a positive attitude
