We are looking for a competent Office Secretary to help with the organization and running of the daily administrative operations of the company.
As an Office Secretary, you will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office.
- Organize office and assist associates in ways that optimize procedures
- Sort and distribute communications in a timely manner
- Create and update records ensuring accuracy and validity of information
- Answering phone calls and redirect them when necessary
- Make travel arrangements
- Monitor level of supplies and handle shortages
- Resolve office-related malfunctions and respond to requests or issues
- Document expenses and hand in reports
- Maintain trusting relationships with suppliers, customers and colleagues
- Perform receptionist duties when needeδ
- Proven work experience as a secretary or administrative assistant
- Familiarity with office organization and optimization techniques
- Excellent organizational and time-management skills
- Excellent written and verbal communication skills
- Excellent MS Office knowledge and English proficiency
- Integrity and professionalism
- Accounting Skills will be considered an advantage
- German language will be considered an advantage
