Administrative Assistant

As we continue to expand and grow, we are looking for an experienced Administration Assistant to help us with our HR administrative tasks and general Office administration and maintenance of the office environment

The Successful Candidate will provide support for all the responsibilities outlined below.

HR Administrative Responsibilities:

  • Support the Cyprus HR function with any relevant HR Administrative tasks
  • Assist in the Global Recruitment & Selection procedure, including new joiner orientation
  • Prepare annual comparison analysis of current medical provider and any other benefits as requested
  • Assist with the biannual performance appraisals
  • Assist with the completion of all legislative documentation (unemployment forms, maternity, paternity leave, sick benefits fund and HRDA submission for training subsidy)
  • Produce data and metrics, globally, from HR database, for reporting purposes

Office Administrative Responsibilities:

Maintenance of office environment to include:

  • Professionally manage reception duties, greet visitors, answer telephone calls, take messages, re-direct calls and handling of courier, delivery and messenger services, schedule meetings when required
  • Oversee the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities. Assist with general office maintenance issues
  • Negotiate the purchase of office supplies, kitchen supplies, furniture, and office equipment, etc., in accordance with company purchasing policies and budgetary restrictions
  • Travel Management: Prepare travel itineraries, schedule meetings, book flights, accommodation, travel insurance and taxis.  Assist with offsite preparations upon request
  • Maintain knowledge of local health and safety standards applicable to local jurisdiction and alert HR of any measures that need implementing
  • Ad hoc office administration tasks and projects upon request by Head of Region/local HR

Other Requirements:

  • Excellent command of the English language (verbal & written)
  • Systems literacy (Microsoft Office)
  • Prior working experience in a similar role would be considered an advantage
  • Detail oriented and works with a high degree of accuracy
  • Proactive self-starter, excellent communication skills, proficient time management and ability to multitask and meet changing deadlines
  • Pleasant, professional demeanour and strong interpersonal skills
  • Ability to maintain strict confidentiality
  • Attendance at annual company event as requested
  • Signing and complying with terms of Albourne Compliance Manuals
